Application Notes: Meeting Room Control Deployment

Overview

This guide covers a typical full-room AV control deployment using KanexPro Controls products — combining a central processor, wall keypads or a touch panel, and extenders to control displays, sources, audio, and lighting from a single system, all programmed using EasyAccomplish.

Typical System Architecture

  • Control Processor: Installed in the AV rack. Runs the EasyAccomplish script, manages all I/O, and communicates with AV devices via RS-232, IR, relay, and IP.
  • Keypads: Mounted at the table or wall. Provide one-touch scene control (presentation mode, video call mode, lights on/off).
  • Touch Panel (optional): Mounted at the lectern or wall. Provides full graphical control with source selection, volume, camera presets, and room status.
  • Extenders: Installed at device locations (projector alcove, display wall) to add RS-232, IR, and relay ports where the processor cannot reach directly.

Deployment Steps

  1. Plan I/O: List all devices to control (displays, projector, matrix switcher, audio DSP, lighting, shades). Note the control method for each (RS-232, IR, relay, or IP).
  2. Install processor: Mount in the AV rack. Connect all local RS-232, IR, and relay cables to the corresponding ports. Connect to the network via Ethernet.
  3. Install expanders (if needed): Mount expanders near remote devices. Connect PoE Ethernet from the switch. Connect RS-232/IR/relay cables to the devices they will control.
  4. Install keypads and panels: Mount in wall boxes or on table surfaces. Connect PoE Ethernet. Configure each device’s IP settings and link to the processor IP.
  5. Program in EasyAccomplish: Open the processor web GUI and navigate to EasyAccomplish. Import device driver files, define button actions, build macros, configure feedback, and set up the scheduler. Upload the script and test all functions.
  6. Test all functions: Test each button press and verify the correct device responds. Test feedback (panel button lights, status text). Test power-on/off sequences and timing delays.

Common Control Scenarios

  • Display on/off: RS-232 or IP command to the display. Include a relay or RS-232 command to power the AV switcher simultaneously.
  • Source selection: Send routing command to the matrix switcher via RS-232 or IP when the source button is pressed.
  • Volume control: Send incremental RS-232 commands to the DSP or amplifier on each volume button press.
  • Lighting scenes: Trigger relay closure or RS-232 command to the lighting controller.
  • Scheduled events: Use EasyAccomplish’s scheduler to auto power-off displays at end of business.
